Handling After-Hours Calls

Outpatient providers are stuck between two bad options:

1. Burn out your physicians with after-hours calls
2. Leave patients with no access outside business hours

Here’s how to build a system that solves for both:

First, you have to define what actually requires after-hours escalation.

A patient forgot to request their prescription before a Friday trip?
That can wait until morning.

A patient showing signs of post-surgical complications at 10pm?
That requires a doctor.

Your system needs to identify and route them correctly.

For most outpatient practices, the answer is an outside answering service. 
Internal staffing only makes sense if you’re running a group of 400+ physicians.

Either way, the service needs two things:

1. Fast answer times
Target 30-45 seconds. Patients calling after-hours are already worried. Long waits make it worse.

2. Clear rules
Define what counts as an emergency, what can wait until morning, and who gets paged for what.

The answering service’s job is not to solve every clinical issue.
Its job is to answer quickly, identify the category of the call, and route it correctly.
