The best time to optimize a contact center is before it’s built.
Here’s how I’d set one up to be scalable from day one:
1. Hire a small, self-starting core team
These are the people who will build and document every process before you scale.
Get this wrong and everything built on top of it will be harder to grow.
2. Document every process
Every contact type needs a documented process before you start scaling.
If it isn’t written down, it can’t be trained, outsourced, or automated.
3. Choose your contact channels intentionally
Give customers multiple ways to reach you and make sure self-service is easy and intuitive.
If phone is the only option, you’re training customers to default to your most expensive channel.
4. Don’t overspend on technology too early
You don’t need cutting-edge. You need reliable and cost-effective.
Buy what works for where you are today, because technology changes fast.
5. Set clear performance standards from day one
Define how calls should be handled and how performance is measured from the start.
That way every new hire walks in knowing: “this is how we operate.”
Your people, processes, and technology will either scale with you or hold you back.
And building it right the first time is always easier and cheaper than fixing it later.
